Truffle Board Guidelines

We work hard to keep the marketplace safe. But we can’t do it alone. We need your help to keep selling and buying safe for everyone.

Keep it neighborly.

Buyers and sellers on Truffle Board are real people and real professionals. Treat them like you would your neighbor.

Accurately represent yourself and your truffles to them. Only list items you intend to sell. At a price you intend to sell it at. By listing or bidding on an item you doing so in good faith with the intention to bring the transaction to its conclusion.

Prohibited Conduct:

  • Sending chat messages intended to threaten, degrade, or harass another user

  • Listing items associated with hate groups or glorifying violence

  • Sending messages or listing items with racial slurs

Keep it safe.

With Truffle Board, all items ship. There is no meeting up with strangers in strange places. To keep you safe, we ask that all transactions take place in the app. We can’t protect you if your sale or purchase takes place offline.

Prohibited Conduct:

  • Attempting to take a transaction off the Truffle Board app (meeting in real life)

  • Trades or partial trades (trading items so neither user pays or only partially pays)

Keep it legal.

We follow the law. So should you. All listed items must be legal to sell and legal to ship — under federal, state and local law. If you don’t own it, don’t sell it.

We are also required to comply with the regulations of the payment processors and other partners that we work with.

Prohibited Conduct:

  • Listings or messages that provide false information

  • Listings that contain legal age restricted products

Prohibited Items:

  • Any product or service other than fresh truffles

  • Truffles species not made available by Truffle Board

  • Frozen, dried, cooked or preserved truffles

  • Truffles not meeting the grading criteria specified by Truffle Board

Stolen goods

  • Stolen intellectual property (i.e. counterfeit goods)

  • Any other stolen items

  • Truffles illegally harvested

Cancellation policy

Buyers can ask to cancel the order any time before it ships.

It’s up to the seller to agree or deny the request. If the seller agrees and we confirm that the order hasn’t shipped, we’ll refund the original form of payment. Truffle Board reserves the right to add to the Buyer’s profile the order cancellation.

If the seller denies the request, they can ship and complete the transaction as originally planned.

Cancellation requests can be made by contacting the seller via messages.

Sellers can cancel an auction if items have not shipped. If Seller cancels an auction by Seller own accord after bidding has started Truffle Board reserves the right to add to the Seller’s profile the order cancellation. To avoid risks of cancellations, we ask that sellers keep their listings up to date and ship orders as soon as possible. To cancel an auction that was sold, Seller must contact Truffle Board support team.

Reliable sellers deliver orders as promised. To protect the marketplace for everyone, frequent cancellations may impact your selling privileges.

We strongly recommend for the seller to message the buyer before denying a cancellation request.

What's Truffle Board return policy?

Truffles are highly perishable items and as such we can’t support returns. A refund may be requested within 3 days of confirmed delivery if one or more of these apply:

  • The item is not as it was described in the listing

  • The item is potentially counterfeit

  • The item is Prohibited

  • The wrong item was received

An item cannot be refunded if it was otherwise accurately described in the listing. All refund request must be properly documented.

If the return is approved, we will give the buyer instruction to what to do with the items (this may include shipping items free of charge to Truffle Board for inspection).

When the item refund is accepted and instruction completed, we will refund the buyer to the original form of payment.

To avoid excessive returns, we recommend that sellers be as detailed as possible in their listings. Take multiple photos and specify all important details in the description.

If the buyer is not in good standing with Truffle Board, a return request may be denied.

Why do I need a tracking number?

To avoid items being lost in transit, we require that all sellers ship using a valid tracking number. All prepaid labels automatically come with tracking information. If you choose to ship on your own (Manual Shipping), you will be responsible to communicate to the buyer via messaging the shipper information and a valid tracking number, failing to do so is considered a violation of the terms of service.

Note: If you ship without a valid tracking number, your transaction is subject to cancellation. Even if the item has been sent out.

 Sales Tax Policy

Truffle Board collects, reports, and remits sales tax on behalf of our sellers in the marketplace states listed below.

 This is necessary to comply with tax laws that require marketplaces like Truffle Board to collect sales tax on behalf of sellers.

 Marketplace Facilitator Laws

Marketplace Facilitator laws require marketplaces like Truffle Board to calculate, collect, remit, and refund applicable sales tax on behalf of third-party sellers with respect to their sale transactions that are delivered to states where Marketplace Facilitator laws have been enacted.

This means that some buyers will see sales tax on their purchases. We’ll be remitting the taxes to the states on behalf of our sellers.

As a result, Truffle Board will now be responsible for sales tax collection in the following states:

We expect that additional states will mandate marketplace taxes in the future. We will let you know when these changes happen.

Requirements for filing sales tax returns in Market Place Facilitator states

Sellers don't need to do anything for Truffle Board to handle the appropriate taxes for sales delivered to the states above. Even without their own tax nexus in these states, we're required to calculate, collect and remit the taxes for sellers.

For sales delivered to Alabama:
  • Truffle Board will collect the simplified sellers use tax at a flat 8% tax rate.

State and local sales tax is generally imposed on tangible items, including charges to deliver taxable items. In states where we must collect sales tax, we must also collect sales tax on all taxable charges, which may include shipping and handling.

For sales delivered to Alaska:
  • There is no state level sales tax in Alaska however, local jurisdictions may impose a tax on goods delivered to their locality.

  • Truffle Board collects sales taxes for all local marketplace place facilitator jurisdictions. Please see here for an up to date list of jurisdictions covered by the marketplace facilitator mandate in Alaska: https://arsstc.org/

For sales delivered to Colorado:
  • Sales taxes are typically composed of multiple tax impositions (including state, city, county and/or district taxes). In Colorado, certain cities can define and administer their own tax rules independently from the state tax rules. This means that the tax base and nexus rules for these cities may be different from the state and state-administered jurisdictions. These cities are called Home Rule cities.

  • Truffle Board is a marketplace facilitator in Colorado for both state and state-administered taxes and for Home Rule cities that have adopted marketplace. This means that we will collect and remit sales taxes on your behalf for any taxes administered by the state or by a Home Ruled city that has enacted marketplace legislation.

You will continue to be responsible for reporting and remitting taxes to Home Rule cities to the extent that you are legally required to collect and remit tax.

For sales delivered to Minnesota:
  • If a seller provided a state tax registration number, they'll continue to be responsible for remitting taxes.

  • If a seller didn't provide a state tax registration number, we're required to calculate, collect and remit taxes even without nexus in this state.

Tax info in financial reports

Sellers on Truffle Board can see the amount of tax collected and remitted on sales in Market Place Facilitator states in their profile.

Additional Information for Buyers

  • Items sold on the Truffle Board platform and shipped to buyers located in certain marketplace states may be subject to sales tax.

  • Whether tax will be added to your order and at what rate is dependent on the nature of the item purchased and the shipment delivery address.

  • The tax rate applied to your order will be the combined state and any applicable county, city, or other local rate of the delivery address. Note that if you reside in a state that does not impose sales tax, you may still see tax on your order if shipped to another state that does impose a sales tax.

  • Truffle Board does accept resale certificates or other business exemptions for purchases on the platform.

  • Separately stated shipping charges may or may not be taxable depending on the delivery location. The total tax amount on your order will include the tax on the item and on shipping, if taxable.

Additional Information for Sellers

  • Items sold on the Truffle Board platform and shipped to buyers located in certain marketplace states may be subject to sales tax.

  • Whether or not tax will be added to your listing at what rate depends on the item purchased and the shipment delivery address.

  • Truffle Board will automatically calculate, collect, and remit any applicable sales taxes to the state taxing authorities on behalf of our sellers.

  • There is no action required on the part of our sellers. Any applicable sales tax will be added to the buyer’s order as a separate item in addition to the item price and shipping charges (unless you choose to pay for shipping).

  • There are no additional charges or fees associated with the collection and remittance of sales tax by Truffle Board.

  • Sellers cannot opt-out of Truffle Board’s sales tax collection for items shipped to buyers located in the marketplace states.

What can I sell on Truffle Board?

Fresh truffles, that’s is it. Review the Prohibited Conduct Policy for listing limitations.

Keys to a great auction:

  • Take good photos — the more the better. Use picture of the actual Truffles. Buyers can’t touch or smell your truffles. Have the image demonstrate the quality of your product. Show the flesh of the truffle to demonstrate maturity. Buyers like to see your items from every angle.

  • Describe the truffle fully — Tell the story of the truffle. Which dog harvested them? Describe the smell, and texture. Explain what makes them stand apart from other truffles. Do not assume that the buyer is a connoisseur. Be honest and exact.

  • Set the proper auction parameters — Choose a start time convenient to your targeted buyers.

  • Choose the auction type — “to buy” is best when demand is very high and you have a good idea at which price the truffle will sell. Set the price just above that value and have a quick sale on the first come first served basis. “to counterbid” is best when buyers and sellers are not sure of the fair market value. Buyers have the opportunity to counterbid each other and the truffle will go to the highest bidder.

  • Set the starting prices — If you select a “to buy” auction type, set the price high enough to get the best value for your truffles, you will have only one chance. If you select “to counterbid” auction type consider lowering the starting price to encourage a bidding war among interested buyers.

Shipping label choices for your listing.

At this time seller can choose between two shipping types, Managed Shipping and Manual Shipping.

Managed Shipping

With Managed shipping seller ships with Truffle Board prepaid label . All operations are simplified. You will automatically take advantage of Truffle Board group discounts and package will be automatically tracked within the application.

We’ll email you a printable shipping label when your auction concludes.

Manual Shipping

With Manual Shipping sellers can choose their own shipping method. With manual shipping Seller can find alternate shipping routes that may be more suited to the efficient delivery of fresh truffles. Seller is responsible and required to communicate to the buyer the package tracking information and shipper information. With manual shipping seller takes full responsibility of proper delivery of the package.

Your item sold. Now what? Keep your truffles fresh!

If you chose Managed Shipping type, we’ll email you a printable shipping label once your item sells.

  • Package your truffles with care — Use insulated boxes and ice packs. Protect truffles from frost bites and moisture accumulation.

  • Decide when to ship — Buyer await eagerly their truffles, we ask you to ship the item within 24 hours. For orders risking to stay stuck in transit during non shipping days (eg: weekend on some shipping types) you should consider delay shipping to keep the truffle as fresh as possible. If your auction risks to close near a non shipping day, make sure to add a clear notice on the auction description.
